Esta Política de Privacidad explica qué datos personales recoge RubikSoft a través de www.rubik-soft.com, para qué los usamos, con quién los compartimos, cuánto tiempo los guardamos y qué derechos tienes sobre ellos. Nunca vendemos tus datos personales.
La política se divide en las siguientes secciones:
This Privacy Policy explains what personal data RubikSoft collects through www.rubik-soft.com, what we use it for, who we share it with, how long we keep it and the rights you have over it. We never sell your personal data.
This policy is split into the following sections:
1. Quién es responsable de tus datos
RubikSoft es el nombre comercial con el que trabaja Jose Leon Salgado, persona física, desde Escazú, San José, Costa Rica. Él es el responsable de los datos personales que se recogen en www.rubik-soft.com, conforme a la Ley N.° 8968 de Protección de la Persona frente al Tratamiento de sus Datos Personales.
Para cualquier tema de privacidad, escríbenos a sales@rubik-soft.com con el asunto «Privacidad». Lo lee una persona del equipo, no un sistema automático.
1. Who is responsible for your data
RubikSoft is the trade name of Jose Leon Salgado, a sole proprietor based in Escazú, San José, Costa Rica. He is the controller of the personal data collected on www.rubik-soft.com, under Costa Rica's Law No. 8968 on the Protection of Individuals with Regard to the Processing of their Personal Data.
For anything privacy-related, email sales@rubik-soft.com with the subject line "Privacy". A person on our team reads it, not an automated system.
2. Qué datos recogemos
Lo que tú nos das
- Formulario de contacto: nombre, apellido, correo electrónico y el mensaje que escribas.
- Calculadora de ROI: nombre, correo, empresa y las cifras que ingresas (leads por mes, tasa de cierre, ticket promedio), junto con la pérdida anual estimada que calcula la herramienta.
- Cubo, el asistente del sitio: los mensajes que escribes y cualquier dato que le compartas, como tu nombre, correo, teléfono o empresa.
- Correo, WhatsApp o reuniones: lo que nos envíes por esos canales o al agendar una reunión con nosotros.
Lo que se recoge automáticamente
- Analítica de uso: con Google Analytics 4, cargado también a través de Google Tag Manager, registramos qué páginas visitas, desde dónde llegaste, tu tipo de dispositivo y navegador, tu ubicación aproximada (ciudad o país) y acciones como abrir la calculadora o enviar un formulario.
- Datos técnicos: tu dirección IP y los datos normales de una solicitud web llegan a los servidores que entregan el sitio y a nuestro servicio de chat, que usa la IP para frenar abusos.
No pedimos datos sensibles, como información de salud, creencias u origen étnico. Por favor no los incluyas en formularios ni en el chat.
2. What we collect
What you give us
- Contact form: first name, last name, email address and the message you write.
- ROI calculator: name, email, company and the figures you enter (leads per month, close rate, average deal size), along with the estimated yearly loss the tool calculates.
- Cubo, the site assistant: the messages you type and any details you share with it, such as your name, email, phone number or company.
- Email, WhatsApp or meetings: whatever you send us through those channels or when you book a meeting with us.
What is collected automatically
- Usage analytics: with Google Analytics 4, also loaded through Google Tag Manager, we record which pages you visit, where you came from, your device and browser type, your approximate location (city or country) and actions such as opening the calculator or submitting a form.
- Technical data: your IP address and the usual details of a web request reach the servers that deliver the site and our chat service, which uses the IP to curb abuse.
We don't ask for sensitive data such as health information, beliefs or ethnic origin. Please don't include it in forms or in the chat.
3. Para qué los usamos
- Responder tu consulta, preparar una propuesta y darle seguimiento comercial.
- Hacer funcionar a Cubo: generar sus respuestas y, cuando detecta que quieres avanzar o le dejas tu contacto, avisarle al equipo para que te escriba.
- Revisar las conversaciones con Cubo que aceptaste guardar, para corregir respuestas equivocadas y mejorar el asistente.
- Entender, en datos agregados, qué páginas y contenidos le sirven a la gente.
- Proteger el sitio contra spam y abuso.
Tratamos los datos de formularios y del chat porque nos los diste para que te respondamos, y guardamos conversaciones completas de Cubo solo con tu consentimiento. La analítica se activa al cargar la página, por nuestro interés legítimo en saber qué partes del sitio sirven; puedes desactivarla cuando quieras (ver «Cookies y almacenamiento»). También puedes retirar tu consentimiento en cualquier momento.
No vendemos ni alquilamos tus datos personales. Tampoco tomamos decisiones automatizadas sobre ti que tengan efectos legales o similares.
3. How we use it
- To answer your inquiry, prepare a proposal and follow up with you.
- To run Cubo: generate its answers and, when it detects you want to move forward or you leave your contact details, alert our team so they can reach out.
- To review the Cubo conversations you agreed to save, so we can fix wrong answers and improve the assistant.
- To understand, in aggregate, which pages and content are useful to people.
- To protect the site against spam and abuse.
We process form and chat data because you gave it to us so we could reply, and we save full Cubo conversations only with your consent. Analytics turns on when the page loads, based on our legitimate interest in knowing which parts of the site are useful; you can turn it off whenever you like (see “Cookies and storage”). You can also withdraw your consent at any time.
We don't sell or rent your personal data. Nor do we make automated decisions about you that have legal or similarly significant effects.
4. Con quién los compartimos
Usamos proveedores que procesan datos por cuenta nuestra. Cada uno recibe solo lo que necesita para su función:

Si eliges escribirnos por WhatsApp desde un enlace del sitio, esa conversación ocurre en WhatsApp y se rige por las políticas de esa plataforma. Fuera de estos casos, solo compartimos datos si una ley o una autoridad competente lo exige.
4. Who we share it with
We use service providers that process data on our behalf. Each one gets only what it needs to do its job:

If you choose to message us on WhatsApp from a link on the site, that conversation happens on WhatsApp and is governed by that platform's policies. Beyond these cases, we only share data when a law or a competent authority requires it.
6. Cuánto tiempo los guardamos
- Conversaciones con Cubo que aceptaste guardar: 90 días después de la última vez que usaste el chat. Después se borran solas.
- Avisos de Cubo al equipo (correo y Slack): mientras nos sirvan para darte seguimiento, o hasta que nos pidas borrarlos.
- Contadores antiabuso por IP: alrededor de una hora.
- Contactos y envíos en HubSpot: hasta que nos pidas borrarlos o dejen de ser necesarios para darte seguimiento.
- Analítica: según la retención configurada en Google Analytics, que para datos a nivel de usuario es de 14 meses como máximo.
- Registros del servidor web: el tiempo que los conserve nuestro proveedor de hosting según su propia política.
- Correos y documentos de una relación comercial: el tiempo que exijan las leyes contables y tributarias.
6. How long we keep it
- Cubo conversations you agreed to save: 90 days after you last used the chat. After that they are deleted automatically.
- Cubo alerts to our team (email and Slack): while they help us follow up with you, or until you ask us to delete them.
- Per-IP anti-abuse counters: about one hour.
- Contacts and submissions in HubSpot: until you ask us to delete them or we no longer need them to follow up with you.
- Analytics: per the retention set in Google Analytics, which for user-level data is 14 months at most.
- Web server logs: as long as our hosting provider keeps them under its own policy.
- Emails and documents from a business relationship: as long as accounting and tax laws require.
7. Transferencias internacionales
Varios de nuestros proveedores operan en Estados Unidos y en otros países, así que tus datos pueden procesarse fuera de Costa Rica o de tu país de residencia. Trabajamos con proveedores establecidos que publican sus propias políticas de privacidad y seguridad, y les enviamos solo los datos que necesitan.
7. International transfers
Several of our providers operate in the United States and other countries, so your data may be processed outside Costa Rica or your country of residence. We work with established providers that publish their own privacy and security policies, and we send them only the data they need.
8. Tus derechos
Puedes pedirnos, en cualquier momento y sin costo:
- Acceso: saber qué datos tuyos tenemos y para qué.
- Rectificación: corregir datos incorrectos o incompletos.
- Supresión: borrar tus datos cuando ya no sean necesarios o si retiras tu consentimiento.
- Oposición: dejar de recibir comunicaciones o pedir que no usemos tus datos para algo concreto.
- Portabilidad: recibir una copia de tus datos en un formato de uso común.
La Ley 8968 te garantiza los derechos de acceso, rectificación y supresión. Si vives en la Unión Europea, el Reino Unido, Canadá o en un estado de EE. UU. con ley de privacidad propia, como California, puedes tener derechos adicionales; los atendemos igual. Nunca te trataremos distinto por ejercerlos.
Escríbenos a sales@rubik-soft.com. Puede que te pidamos confirmar tu identidad antes de entregar o borrar datos, y te responderemos dentro de los plazos que fija la ley. Si no quedas conforme, puedes acudir a la Agencia de Protección de Datos de los Habitantes (PRODHAB) o a la autoridad de protección de datos de tu país.
8. Your rights
At any time and at no cost, you can ask us for:
- Access: to know what data we hold about you and why.
- Correction: to fix data that is wrong or incomplete.
- Deletion: to erase your data once it is no longer needed or if you withdraw your consent.
- Objection: to stop receiving communications, or to have us stop using your data for a specific purpose.
- Portability: to receive a copy of your data in a commonly used format.
Costa Rica's Law 8968 guarantees your rights of access, correction and deletion. If you live in the European Union, the United Kingdom, Canada or a U.S. state with its own privacy law, such as California, you may have additional rights, and we honor them just the same. We will never treat you differently for exercising them.
Email sales@rubik-soft.com. We may ask you to confirm your identity before we hand over or delete data, and we will reply within the time limits the law sets. If you're not satisfied, you can contact Costa Rica's data protection agency, PRODHAB, or the data protection authority in your country.
9. Seguridad
El sitio funciona solo por HTTPS. Las claves de nuestros servicios viven del lado del servidor, nunca en el navegador; el chat limita cuántas solicitudes acepta por hora y por IP; y el acceso al CRM y a las conversaciones guardadas está restringido al equipo que las necesita.
Ningún sistema es infalible. Si ocurre un incidente que afecte tus datos, te avisaremos y le informaremos a la autoridad cuando la ley lo exija.
9. Security
The site runs over HTTPS only. Our service keys live on the server side, never in the browser; the chat caps how many requests it accepts per hour from each IP; and access to the CRM and to saved conversations is limited to the people on our team who need it.
No system is infallible. If an incident affects your data, we will let you know and notify the authorities where the law requires it.
10. Datos de proyectos de clientes
Esta política cubre el sitio web. Cuando construimos agentes, integraciones o tableros para una empresa cliente, los datos de esa empresa y de sus propios clientes se tratan según el contrato que firmamos con ella, y solo para ese proyecto.
10. Client project data
This policy covers the website. When we build agents, integrations or dashboards for a client company, that company's data, and its own customers' data, is handled under the contract we sign with it, and only for that project.
11. Menores de edad
El sitio está dirigido a empresas y profesionales. No está pensado para menores de 18 años y no recogemos sus datos a sabiendas. Si crees que un menor nos dio sus datos, escríbenos y los borramos.
11. Children
The site is meant for businesses and professionals. It isn't intended for anyone under 18, and we don't knowingly collect their data. If you believe a minor has given us their data, write to us and we will delete it.
12. Cambios a esta política
Si cambiamos la forma en que tratamos tus datos, actualizaremos esta página y la fecha de arriba. Si el cambio es importante, lo destacaremos aquí antes de que entre en vigor.

If we change how we handle your data, we will update this page and the date at the top. If the change is significant, we will highlight it here before it takes effect.
